1. Welcome & Call to Order
The meeting was called to order at 7:04 p.m., with the agenda reviewed. Key focus areas included the upcoming STEM Night on Thursday, April 30th, budget updates, and planning for the year-end Fun Fair.
2. Principal and Teacher Rep Report
Staffing Updates:
o Mme Steenberg has returned from leave.
o Mme Agnihotri is back in the school office.
PEAC Regional Symposium:
o Scheduled for Wednesday evening.
o No parent representatives from the school are attending due to lack of responses before the registration deadline.
o Administrators will attend on behalf of the school.
School Performances:
o Anne of Green Gables performances will take place on May 13 and 14.
o Advertising and ticket pricing details will be shared shortly.
General School Update:
o School activities remain busy, including music, junior basketball, badminton tryouts, and science-related learning across grades.
3. Treasurer’s Report
● No significant financial changes since the previous meeting.
● Pizza Program:
o Pizza pricing has increased (effective April).
o Follow-up is required to confirm that the updated pricing is reflected in April invoices.
o Action: Contact Carmela to confirm receipt and implementation of the new pricing.
4. STEM Night – April 30, 2026 (6:00–8:00 PM)
Setup:
o Doors open at 5:40 PM.
o Vendors and volunteers arrive around 5:45 PM.
o Workshops will take place in classrooms; vendor booths will be in the large and/or small gym. Nadia will allocate the classroom for the workshops.
o Map of vendor location is required for the caretaker team.
Workshops:
Mad Science
▪ Two sessions (Living in Space theme).
▪ Cost increase noted; approximately $6 per student with $2 council subsidy.
▪ Invoices will be paid via cheque on the event night.
▪ Classroom setup requirements include open space, tables, chairs moved aside, and access to a sink between sessions.
O’botz
▪ Two identical workshops (15–45 minutes).
▪ Chromebook access required.
▪ Minimum 12, maximum 15 students per session.
▪ Vendor planning meeting scheduled with parent council member and school staff (Sushma and Mr. Maronitis) to test technology.
Vendors:
o Several vendors confirmed (e.g., UCMAS, YRES, RH Library, Spirit of Math, Russian School of Math, Steamoji and Code Ninjas).
o A few vendors awaiting confirmation (Exceed Robotics, Engineering for Kids York Region, YRDSK – STEM team); unresponsive vendors may be removed.
Registration:
o All workshop and food items will be pre-registered via School Cash Online.
o Action: Council to coordinate with Carmela to set up registration items.
o Registration on School Cash Online will close on Monday, April 27, 2026. Estimated numbers will be made available on April 24.
Food:
o Pizza (Papa John’s), juice, water, chips; coffee donated by Tim Hortons.
o Prices similar to last year, with adjustments as needed.
o Food will be offered in the small gym. Three tables are required for food.
o Costco run will be coordinated amongst the parent council
Volunteers:
o Student leadership volunteers will be requested (8–10 students).
o Volunteers needed for food sales and workshop check-in - 4 at entrance and rest at food counter.
5. Communications & Promotion
● A STEM Night flyer will be created by Larissa (Eilda’s daughter) referencing last year’s format, with updated dates and details.
● Information will be shared with families via school communication channels.
● Vendors may display banners but may not distribute flyers or run promotions.
6. Fun Fair Planning
● Date Confirmed: May 28, 2026
● Ice cream vendor quotes to be collected and shared for decision.
● Fire truck application to be submitted.
● A general volunteer call will be shared with the school community to recruit parent support for the BAPS 2026 Fun Fair. Eilda will create the BAPS 2026 Fun Fair generic email address to receive volunteer responses and coordinate communication.
● A separate planning meeting may be held in May.
